Logistics Assistant (60%) - Brussels office

The World Organisation Against Torture representation in Brussels is seeking to reinforce the overall management of its office. This part-time assignment can be an interesting opportunity for professionals looking at building up or expanding their portfolio of activities.


ABOUT THE OMCT

The OMCT works with around 200 member organisations which constitute its SOS-Torture Network, to end torture, fight impunity and protect human rights defenders worldwide. Together, we make up the largest global group actively standing up to torture in more than 75 countries. Helping local voices be heard, we support our vital partners in the field and provide direct assistance to victims. Our international secretariat is based in Geneva, with offices in Brussels and Tunis.


ROLE & RESPONSIBILITIES

The Logistics Assistant ensures the smooth running of the office by handling part of the administrative and financial tasks, working closely with the Finance and Operations Coordinator.

Main responsibilities

  • Support the operational team and OMCT Europe’s staff with administrative and logistical matters, including:
  • - Assisting in organizing and updating administrative files;
  • - Coordinating office management needs at OMCT-E, acting as the main contact for suppliers, service providers, and the building owner of OMCT-E headquarters;
  • - Facilitating the procurement and management of office equipment and supplies;
  • - Handling incoming and outgoing physical and electronic mail;
  • - Supporting logistical coordination for visits and missions to Brussels (bookings, per diems, etc.);
  • - Managing the Brussels office inventory;
  • - Assisting with building maintenance tasks (including labor inspections, garden maintenance, etc.);
    • Assisting with verification and data entry of bank transfer payments into OMCT's financial software and checking office expenses made through other means (credit card, etc.);
    • Any other responsibility assigned beyond the above.


    QUALIFICATIONS/REQUIREMENTS (Education and/or Work Experience)

    • At least one year of experience in a similar administrative assistant role (ideally in an NGO or small/medium enterprise). If this requirement is not met, OMCT-E still encourages individuals with strong motivation and aptitude for the role to apply.
    • Relevant vocational training and/or experience in handling administrative tasks with a fair degree of autonomy.
    • A good knowledge of Belgian administrative law (work permits, social security, etc.) is a plus.
    • Good knowledge of both French and English, spoken and written. Knowledge of Dutch is a plus.
    • Good knowledge of Microsoft Office Suite.

    • Excellent interpersonal skills, including the ability to maintain collaborative relationships with individuals from diverse national and cultural backgrounds across different time zones.
    • Attention to detail: ability to work meticulously and rigorously.
    • Ability to deliver results in a timely manner and act with care, responsibility, and reciprocity.
    • Organization and prioritization: Strong organizational, prioritization, and time management skills to enable efficient and effective work.

    OMCT-E offers a permanent contract (CDI) at 60%.

    Based on a 100% rate, the gross monthly salary ranges between EUR 2,970 and EUR 3,250, paid over 12 months, depending on the profile. OMCT offers a minimum of 20 days of vacation from the first year of employment, standard social benefits including meal vouchers.

    For this specific position, we do not offer teleworking options.
